Admin Assistant

Experience: 1–2 years | Working Hours: 1:00 PM – 10:00 PM SL Time


Role Description:

The Admin Assistant will support daily operations by managing administrative tasks, social media content, sales orders, and inventory records. The ideal candidate is organized, proactive, and capable of multitasking in a fast-paced remote environment, with strong attention to detail and communication skills to support smooth sales and marketing operations.


Key Duties and Responsibilities:
    Social Media and Content Management:
    • Create, curate, and schedule engaging posts across social media platforms
    • Develop content strategies aligned with marketing objectives
    • Analyze trends to improve engagement
    • Write blogs for wholesale partners and fashion retailers
    Lookbook and Seasonal Collection Management:
    • Design and update lookbooks for each season
    • Curate high-quality visuals and descriptions matching current trends
    Data Management and Sales Tracking:
    • Update spreadsheets for inventory, orders, and sales data
    • Maintain data accuracy and generate reports
    E-commerce Platform Management:
    • Process sales orders from supervisors and customers
    • Ensure customer data and orders are accurate
    • Manage product listings, pricing, and stock on Showroom Prive
    • Monitor inventory and adjust based on sales trends
    • Handle orders via third-party wholesale platforms
    Logistics and Shipment Coordination:
    • Prepare packing lists and quality control reports
    • Coordinate shipments with couriers like DHL and DPD
    • Resolve delivery-related issues
    Inventory Monitoring:
    • Update stock across all marketplaces
    • Prevent overselling by maintaining synced inventory
    • Support with additional tasks as assigned

Requirements:
  • Bachelor's degree in Business Administration or related field (preferred)
  • Minimum 2 years' experience as an Administrative Assistant or similar role
  • Proficiency in MS Office and project management tools
  • Strong communication and organizational skills
  • Excellent multitasking and prioritization in a remote setting
  • High attention to detail and problem-solving ability
  • Experience in content creation, social media, and e-commerce
  • Familiarity with Showroom Prive and third-party wholesale platforms
  • Experience managing data, analyzing trends, and preparing reports
  • Ability to work in a UK time-based environment (1:00 PM – 10:00 PM SL time)
